From daily lorry hunting to one fixed dispatch loop

How an engineering unit near Harihar replaced trip-wise lorry hire with a monthly rental, cutting transport cost by 11.8% and getting 98.4% of dispatches out by 11 am.

Workers loading crates of machined components into a pickup van outside a small engineering unit

A small engineering unit on the Harihar industrial belt that machines components for distributors in Davanagere and ships part of its output onward by rail.

The challenge

The unit dispatched machined components to Davanagere distributors and the railhead daily, hiring lorries trip by trip. Rates changed with the market, vehicles arrived late about one day in five, and accounts had to reconcile a stack of cash receipts every month.

Every dispatch meant phoning lorry brokers the same morning.
Trip rates moved with the market, so monthly transport cost was hard to plan.
About one day in five the vehicle arrived late and the 11 am dispatch cutoff slipped.
Accounts reconciled a stack of cash receipts at every month end.

What Voder did

In a 3-month pilot contract, Voder set up a route-based monthly rental: a Pickup / Van with a fixed driver on the dispatch loop, a Heavy Truck on demand for overflow, one monthly invoice, and photo-documented loading on every trip.

1

A fixed dispatch loop

The daily run from the unit to the Davanagere distributors and the railhead was set up as one route-based monthly rental.

2

Same driver, same time

A Pickup / Van with a fixed driver reported to the loading bay every morning, ahead of the 11 am cutoff.

3

Heavy Truck for overflow

On days when output exceeded the van, a Heavy Truck was booked on demand through the same account.

4

One digital invoice a month

Loading was photo-documented on every trip, and all of it rolled up into a single monthly digital invoice for accounts.

The results

Measured over the pilot, against how the business ran before.

Dispatch is now a routine rather than a morning scramble: the van is there before the cutoff, the monthly cost is known in advance, and month end is one invoice instead of a pile of receipts.

Same driver, same time, one invoice. Our dispatch clerk finally stopped chasing lorry brokers on the phone every morning.
